How do I review my Bulk Import feedback file?

You've uploaded your spreadsheet and received a feedback file. Unsure of what to do next? No worries, we've got you covered.

By now, you've prepared your spreadsheet, processed a bulk import, and received an email containing your feedback file. If our software was unable to process any of the data in your spreadsheet, instructions on how to resolve these issues are outlined in the attachment. Reviewing the feedback file attachment is extremely important as we cannot guarantee that the Creator Profiles imported were properly added or updated, which may result in missing content.

Once you open the attachment, you can check the Import Messages column of the spreadsheet to decide what to do next. Expand each section to learn more.

Success Message: Added a profile

This is awesome news! If you're viewing this message, the Creator was imported successfully and added to your dashboard. This message applies to new Creators only.

Success Message: Edited a profile

This message applies to existing creators or profiles who were being tracked in your community already and indicates that their profile was edited successfully. This usually applies to bulk imports processed to add creators to a Campaign, update custom fields or Creator Tags, and edit social media accounts.

Success Message: Invalid link added

This message indicates that either:

  • The Instagram link associated with the Creator Profile is private

  • The website (or blog) link associated with the Creator Profile does not have an RSS feed

This message can refer to any link associated with the creator, including links that are not part of the import file but that are currently tracked in the Creator Profile. You can confirm the invalid link by checking the Invalid Link column on the spreadsheet. If you determine that the link is private but you would still like to include it in your Creator Profile, you can choose to ignore this message.

Error Message: Duplicate profile detected

This message is designed to help you prevent or address any duplicate Creator Profiles in your database. When reviewing this error, please note that there are two types of feedback you can receive in the Duplicate Creator ID column of your spreadsheet, and the actions you may need to take will depend on which error you see.

  1. Duplicate ID: [Creator ID], Matched ID: [Creator ID]


    This error identifies two Creator Profiles that need to be merged in the dashboard. You can copy and paste the IDs into your My Community > Creator tab to locate and select the relevant Creator Profiles in your account. Once all duplicates are selected, use the Merge function in the bulk actions menu. You can now proceed to update the information on this Creator Profile via bulk import or directly within Tribe Dynamics.

  2. Duplicate ID: [Creator ID], Matched ID: None


    This error occurs when the software identifies that your import file is attempting to create a duplicate. For example, if you are trying to import a file that contains TikTok and Instagram accounts, you've selected TikTok as the Key Field to Match On, and you are currently only tracking this creator's Instagram account. In this case, the import cannot find the TikTok profile in your account and is being instructed to create a new Profile. However, the Instagram link matches an existing profile that would become a duplicate.
    This can also occur if you’re trying to edit an existing Creator Profile, but the creator's handle has been changed and was not updated in your dashboard.
    To resolve this error, use the ID in the Duplicate Ambassador column to look up the Creator's Profile in your account and edit the profile to update their social media accounts accordingly, or switch your Key Field to Match On and re-run your import file.

Error Message: Account not supported

This message indicates that one or more of the links associated with the Creator Profile is:

  • Defunct - the account has been deleted from the social platform, or the creator has since changed their handle. When trying to open a defunct profile, you'll generally receive an error page.

  • Not a Facebook Page - the account is a Facebook Profile, which does not allow for content collection. You can often identify a Profile by either the profile.php?id component in the URL or the ability to add the profile as a friend

  • Entered in the incorrect field - the account in the column does not match the social platform in the column header. For example, you may be trying to add a TikTok account to the Instagram field.

In these cases, the account link will not be added to the Creator Profile. You can try to resolve the error by:

  • Replacing defunct links with a link to a different public, valid profile for this creator (if available)

  • Replacing links to a Facebook Profile with a link to a Facebook Page (if available)

  • Moving the account link to the correct column

Once these corrections are made in your spreadsheet, you can re-upload the bulk import file.
